Privacy Policy

This policy explains what TheJobSort collects, why, who else handles it, how long we keep it, and your choices. The short version: your workspace is private to you and the assistants you approve, we run no AI on it, we do not sell it, and you can take it with you.

1 Who we are

TheJobSort is provided by OU Group Pty Ltd (ABN 59 683 269 963), 81-83 Campbell Street, Surry Hills NSW 2010, Australia. We are responsible for the personal information described here. Contact us at info@thejobsort.com.

2 What we collect

  • Account details: your email address, when you signed up, and the version of these terms you accepted.
  • Your workspace: what you and your assistant add, such as jobs and postings, companies, contacts, tasks, messages, notes, your résumé text, facts about you, routines, documents you upload, the goal you set, and a history of changes.
  • Assistant connections: the name each assistant gives itself, when it connected and was last active. Its access keys are stored only as one-way fingerprints.
  • Technical details: network address, browser and device information, and service logs, used to run and protect the service. Network addresses used for rate limits are stored only as one-way fingerprints.
  • Payments: if you buy the paid plan, Paddle handles payment as our reseller. We receive your Paddle customer and subscription identifiers, what you bought, the amount and currency, never your card details.
  • Messages to us: what you send when you contact us.

You do not need to give us sensitive information, such as health, religion or political views. Please leave it out of your workspace unless it is truly needed for an application.

3 Information about other people

Your workspace may include details of people in your job search, such as recruiters, hiring managers and contacts. You decide what to store about them, and you should only keep what you need, for your own job search. We hold and process it for you to provide the service. If someone asks us about information you hold about them, we may refer them to you.

4 Why we use it

  • to create your account, sign you in and keep your workspace private to you;
  • to provide the workspace and let the assistants you approve read and update it;
  • to send sign-in codes and essential account messages;
  • to apply plan limits, prevent abuse and keep the service secure;
  • to fix problems and improve the service; and
  • to meet legal, tax and accounting duties.

We do not use your workspace to train artificial intelligence, we do not show advertising in the product, and we do not make automated decisions about you.

5 Your AI assistant

TheJobSort runs no AI of its own. When you connect an assistant, such as Claude Code, it can read and change your workspace with the access you approve. What it reads is then handled by that assistant's provider under your agreement and their privacy policy, not ours. Choose an assistant you trust, and check its settings for how long it keeps your conversations. You can disconnect an assistant at any time.

6 Who else handles it

We use the providers below to run the service. They may only use your information to provide their service to us, except where the law requires otherwise. We share information beyond them only if you ask us to, to protect people or the service, or when the law requires it.

We do not sell your personal information, and we do not share it for targeted advertising.

7 Where it is processed

Your workspace is stored in Singapore. Some providers process information in the United States, the United Kingdom, Australia and other countries, as listed above. Where the law requires it, we rely on safeguards such as our providers' data protection terms and standard contractual clauses for these transfers.

8 How long we keep it

  • Your workspace, including its history, is kept while your account is open.
  • Removing a document hides it from your workspace; the file is kept with your account so its history stays complete, and is deleted when your account is deleted.
  • The example workspace a visitor opens without an account is deleted about a day after it was last used.
  • Browser sign-ins last 90 days from last use. Assistant access lasts up to 30 days at a time, and assistants that support it renew it automatically.
  • Rate-limit records, which use one-way fingerprints, are deleted within two days.
  • Service logs are kept for a short time to fix problems and investigate abuse.
  • When you delete your account, your workspace, its history, your files, your assistant connections and your sign-in are deleted straight away. We keep only a one-way fingerprint of the workspace's internal id and the date, with none of its content, as a record that it was deleted. Backup copies are removed within the providers' backup cycle, usually within 30 days. If you have paid us, we keep billing records for as long as tax and accounting law requires.

9 Your choices and rights

You can see and correct everything in your workspace yourself, download all of it at any time, and delete your account, all from Settings. Deleting asks for a new email code, so only you can do it. To ask for anything else, such as a copy of other information we hold, a correction, or to object to how we use your information, email info@thejobsort.com. We may need to confirm it is you before we act, and we will respond within the time the law allows, usually within 30 days. We will not treat you differently for using your rights.

10 Security

We protect your information with access controls, row-level isolation between workspaces, encryption in transit and at rest, one-way fingerprints for every sign-in key and access token, private file storage, and a strict content security policy. No system is perfectly secure. If a breach is likely to cause serious harm, we will tell you and the regulators the law requires.

11 Cookies

We use only essential cookies: one keeps you signed in to your workspace, and one keeps the example workspace separate from yours. We use no advertising or analytics cookies. The sign-in check (hCaptcha) may use its own cookies on the sign-in page.

12 Age

TheJobSort is for people aged 18 and over. We do not knowingly collect information from children. If you think a child has given us information, contact us and we will delete it.

13 Where you live

Australia. We handle personal information under the Privacy Act 1988 and the Australian Privacy Principles. If you are not satisfied with our response to a complaint, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

United Kingdom. Under UK data protection law we are the controller of your account information. We rely on our contract with you to provide the service, our legitimate interests to secure and improve it, and legal obligation where the law requires us to keep records. You can ask for access, correction, deletion, restriction or a portable copy, and object to processing based on legitimate interests. You can complain to the Information Commissioner's Office at ico.org.uk.

United States. Depending on your state, you may have the right to know what personal information we hold, to correct or delete it, and to a portable copy. We collect the categories in section 2 for the purposes in section 4, we do not sell or share personal information for cross-context behavioural advertising, and we do not use sensitive personal information to infer characteristics about you. You may use an authorised agent; we will verify the request.

Canada. We handle personal information under the Personal Information Protection and Electronic Documents Act. You can ask for access and correction, and withdraw consent, subject to legal limits. You can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.

14 Changes and contact

We will update this policy when the service or the law changes, post the new version here, and change the date above. We will tell you before a material change takes effect when the law requires it. Questions, requests or complaints: info@thejobsort.com.
